Fundraising and Support Policies
Reign Ministries’ fundraising support policies and our donation procedure are instated to help you get the most out of your summer your mission trip!
Reimbursement Policy
To qualify for an expenditure reimbursement, a participant must have extra dollars in their account once all financial obligations for the mission trip have been met. All reimbursements must be submitted to the Finance Department at Reign Ministries by August 31. All original receipts must be included. No checks will be cut for reimbursement prior to team's arrival at home. For an expenditure to qualify for reimbursement, it must be purchased specifically for the trip, for the participant specifically (not a parent/guardian accompanying a participant), that a person would otherwise not have, or be required, to purchase. Therefore, articles such as clothes, camera, cosmetics, toiletries, and eye care are not reimbursable because these items are either non-essential (camera) or would be used were the person to remain at home (even if you purchase travel-size items).
Excess Contributions
If you raise more support than is required for your airfare, ground fees, and spending money, you have 4 options. Excess contributions can be:
- Transferred to other students who are struggling financially. There will be an opportunity to do this while you are at Training Camp.
- Held over for one year to be used for your participation on another mission trip. A brother or sister may also use them in a subsequent year. You will be able to communicate your desire at Training Camp.
- Used to reimburse domestic airfare spent travel to Chicago. To be eligible for domestic airfare reimbursement you must wait until the completion of the trip and send a copy of the receipt.
- Used to reimburse purchase of camping equipment (sleeping bag, backpack, sleeping mat, Nalgene).
- Used to reimburse cost of certain health items/services as required by Reign Ministries (immunizations, prescriptions specific to the needs of the country, i.e. malaria medication).
- Used to provide you with a stipend for your summer of service. You must have already completed one year of college study prior to the mission trip. Funds are not available for stipends to students who have just graduated or are still in high school. Excess funds less a 10% administration fee will be distributed upon request to you following the completion of the mission trip. The stipend must be requested in writing. The IRS allows those who participate as adults-following one year of college-to receive the stipend as wages. If you receive a stipend you will be required by the IRS to report the entire stipend as income on your taxes.
Note: Non-reimbursable items include but are not limited to: doctor visit for physical, camera, toiletries, clothes, eye care (glasses, contacts, etc.), food, passport, postage, support raising events (dinners, desserts, etc.)
Cancellation
Contributions raised for your Royal Servants' mission trip are nonrefundable. If you cancel your trip the guidelines in regard to their finances are as follows:
- Support (less penalties and costs already incurred) can be transferred to another student or staff discipler to be used for the same year. Funds cannot be transferred to Reign Ministries/Royal Servants full time or associate staff members.
- Support (less penalties/costs already incurred) can be held over for one year only to be used by the original participant toward any Royal Servants trip. If the original participant does not join a trip the following year, all remaining support can be transferred to an immediate family member for use toward any Royal Servants mission trip.
- Funds cannot be transferred to friends or church members participating the year after the student originally canceled, with the exception of support sent from the participant's church. Church funds can be transferred, but only to a student or staff discipler from that specific church.
- Any unused funds will be transferred to the Royal Servants general fund.
Trip Changes / Cancellation
- Sometimes, due to issues beyond our control, a team may be required to move to a difference ministry location. For instance, if a particular African country becomes unsafe, Royal Servants reserves the right to fly the whole team to minister to a different country in Africa. If this happens, a Reign Ministries staff member will contact each person. The participant will be expected to trust the Lord and go where He has redirected
- At times a mission trip has to be cancelled. In this event, each participant will be personally contacted by a Reign Ministries staff member. The participant has three choices: 1) They will be given priority on the "second choice" mission trip that was indicated on the participant's application, or any other open mission trip. 2) They may choose to wait until the following year. Reign Ministries will then save the funds and apply them to the next summer's mission trip. 3) A participant may choose to cancel his/her trip, at which time Reign Ministries will reimburse each original donor upon his/her written request.
Donation Procedures
When someone receives your support letter and decides to make a gift, there are three ways they can make their donation a gift for you:
- They can write a check to Reign Ministries and return it with the sponsorship card in the special donation envelope you provided in their support packet.
- They can give online here. You can copy the following URL in an email to send to others if you like: https://www.egsnetwork.com/gift2?giftid=83AC071DA090408.
- They can give their donation directly to you. If this occurs you must send it in to Reign Ministries as soon as possible. Please follow the guidelines below.
When a Donation is Given to You
When someone gives you a donation for your mission trip send the gift immediately to Reign Ministries at:

If it is a check and payable to your name write on the back of the check "Pay to the order of Reign Ministries" and sign it. This way your donors can receive a tax-deductible receipt.
If someone gives you cash, deposit the money and write a check to Reign Ministries for the total amount. Send it to Reign Ministries along with a note listing who the donation was from and their address. If your check is for multiple cash gifts, provide the names address and gifts amounts for each donor.
A donor may make a gift to you personally for preparation expenses like your passport overseas health insurance policy and items on your packing list. Their gift must be cash a check payable to your name or the item they purchase. They will not receive a tax-deductible receipt from Reign Ministries.
Send all donations immediately. Do not hold the checks or cash until later. We want to serve your donors well by giving them a quick acknowledgement and receipt. We also monitor your support progress. Additionally Reign Ministries is already booking tickets making bus reservations and purchasing food for your place on the team. We need the donations for your trip immediately to start covering the costs.

Monitoring Your Progress
When the office receives donations for your mission trip, we will:
- process those donations
- send your donors a tax-deductible receipt
- update Managed Missions two to three times a week so you can track your own support online
